Job Description

Job Title: Senior Assistant
Department: Safety & Security
Entity: Aga Khan University

Introduction
The incumbent will be responsible to perform a variety of administrative functions for the Safety & Security Department. This position requires ability to develop relationship with variety of people and project a professional image through in-person and phone interactions. Should be a self-starter and possess ability to work with minimal supervision. Should be reliable and handle multiple work assignments which may be difficult to prioritize.

Responsibilities
The incumbent will be responsible to:
Carry out minor security investigations at AKU.
Supervise and coordinate the investigation efforts of security supervisor of operation section.
Maintain incident reporting forms and log it progressively.
Typing and disseminating of incident reports to departments.
Assist Manager Security investigations in carrying out of investigation.
Maintain office records of investigation and follow up of investigation reports.
Collate Incident Reports data for Monthly, Quarterly and Annual Incident analysis reports generation.
Ensure that filing and record keeping are designed and maintained to permit easy retrieval of information.
Ensure smooth functioning of the office.
Type all memos / letters of the department.
Maintain close coordination and work in collaboration with other departments to provide and obtain continuous support and services.
Provide shared administrative support to relevant personnel within the divisions as assigned.
Screen telephone calls, handle them personally and give information based on knowledge or department head's viewpoint.
Perform additional official tasks assigned by the Manager / Director as and when needed.

Requirements
Graduate from a recognized university with at least 5 to 6 years' of relevant experience.
Organized and focused individual with excellent communication and interpersonal skills.
Track record of mastering new tasks with little or no supervision.
Excellent organizational skills & discretion with confidential information.
Proficient in use of computer packages especially MS OFFICE.
