Forman Christian College (A Chartered University) has a vacancy for Administrative Assistant to the Dean of Management, Business & Commerce. The Administrative Assistant to the Dean is responsible for managing the Dean's agenda/calendar and support the Dean in external and internal matters whenever there is a requirement. The Administrative Assistant coordinates with the building's administrative/support staff for various functions related to smooth running of the departmental operations.
Duties/Responsibilities (but are not limited to the following):
Organize tasks, coordinate the allocation, and arrange the right roles for the right people.
Facilitating the Faculty and resolving issues regarding booking of classes and events and ensuring performance quality.
Motivate and communicate in order to mold staff into cooperative teams and to convey information continually up, down, and around the organization.
Supervising the Smart class coordinator and assistants which includes, Manage Resources, Communicate information, Performance Management, Improve processes and quality.
Review feedback from the faculty regarding Smart Class assistance and ensure the better performance.
Manage the Head's agenda/calendar
Schedule internal and external appointments and meetings
Respond to telephone, emails and in-person inquiries from faculty, staff, students and external organizations
Manage and maintain the files and records
Conducting correspondence for Head
Screen, review and prioritize oral and written communications addressed to the Head
Brief the Head on issues requiring their attention
Prepare letters and memos
Take minutes at various faculty committees as required by the Head
Assists in coordinating and providing administrative support for ongoing operations, events, meetings and conferences
Provide other tasks in support to the Office
Candidates must have at least 16 years of education
Experience is not essential but candidates with experience will be preferred
Good spoken and written English to write and edit correspondence, provide and interpret detailed information, and deal with complex situations in official languages
Good Computing Skills(intermediate level) of MS Word (format documents, do mail merges) and of Excel (create spreadsheets and charts); basic knowledge of PowerPoint (to create presentations), Acrobat Reader and electronic mail systems
Interpersonal Skills and organizational skills and the ability to multitask; ability to work independently and in a team; client-service orientation
