Job Description

About the role::
As the face and voice of the department the Administration Assistant will act in a professional manner adhering to the highest level of customer service standards greeting Customers when they enter Airline Operations Facility and Guiding them properly for their various business requirements. The role will also answer phones, compose Documents and letters, and perform other administrative tasks around the office as directed.
Provides range of services to all visitors of Airline Operations Facility at QROC. Regulating the escorting of visitors after their appropriate identification through group security at QROC for pick up form security desk and escorting the visitor for the entire time they are inside QROC until they exit
Tactfully handle inquiries and/or refer them to appropriate section as follows:
Flight Deck Crew (FDC) Admin
Crew Welfare
Fleet and Training Offices
Greets visitors, handles incoming calls and performs general administrative duties. Also may assist other administrative staff with overflow work, including word processing, data entry and internet research tasks
Review and answer email inquiries and determine if executive action is required and liaise for directions from Administration Officer
Responsible for the input of various records, setup of new work stations, maintain data bases of all assets and assets movements within Flight Ops Management Support in liaison with IT team
Responsibility for administrative scope of preparing or distribution correspondence, and record all incoming and outgoing documents and maintain a proper filing system with the QROC 1st floor reception team
Independently gather, compile and analyse information from multiple sources; prepare a variety of complex reports, manuals, or agendas based on the requirement of responses/ queries from FDC
Creates and updates the rosters of Office Assistants and Driver messengers
Perform other department duties related to his/her position as directed by the Head of the Department

About You::
Relevant Vocational, Tertiary or Trade qualification
Previous Experience:
Minimum 3 years relevant experience
At least one year in any position required to customer handling or customer service
Job Specific Skills:
Command of English language essential - Written and spoken
Knowledge of computers and MS Office applications
